Privacy Policy

Your privacy is important to us. It is Deutrix Ltd’s policy to respect your privacy and comply with applicable data protection laws and regulations regarding any personal information we may collect about you, including across our website, https://deutrix.care, and other sites we own and operate.

“Personal information” (or “personal data”) is information that can be used to identify you, directly or indirectly. This may include information about you (such as name and contact details), your devices (such as IP address and browser identifiers), and information about how you use a website or online service. Payment information is processed by our payment providers; we do not intentionally store full payment card details on our own systems.

Where our site contains links to third-party sites and services, those third parties have their own privacy policies. This Privacy Policy does not apply to your activities after you leave our site.

Effective date: 20 January 2026
Last updated: 20 January 2026

Information We Collect

Information we collect falls into two categories: (1) information you voluntarily provide and (2) information collected automatically when you use our website or communicate with us.

Information you voluntarily provide

This includes information you knowingly provide when you contact us, request a quote, purchase services, subscribe to a maintenance plan, submit a form, or communicate with us. This may include:

  • Name
  • Email address
  • Phone/mobile number
  • Company details
  • Billing details and invoicing information
  • Content you send us (messages, attachments, briefs, screenshots, support requests)

Information collected automatically

When you visit our website, our servers may automatically log standard data provided by your web browser (“Log Data”). This may include IP address, browser type and version, device identifiers, the pages you visit, time and date of your visit, time spent on pages, and referring URLs.

If you encounter errors while using the site, we may collect technical data related to the error and the circumstances surrounding it (for example, what you were doing when the error occurred and technical information about your device). In some cases, Log Data may be combined with other information to identify a person.

Cookies and similar technologies

We use cookies and similar technologies to operate our website, remember preferences, understand usage, and improve performance. Where required by law, we will request your consent for non-essential cookies (such as analytics/marketing cookies). You can control cookies through your browser settings and (where available) our cookie banner/preferences.

Please refer to our Cookie Policy for more information.

User-generated content

“User-generated content” includes reviews, ratings, images, and/or videos you voluntarily submit for publication on our website or social media channels. Content submitted for publication may become public after review and may be accessible to third parties outside the scope of this Privacy Policy.

How We Use Personal Information

We may collect, hold, use, and disclose personal information for the following purposes, and will not process it in a manner incompatible with these purposes:

  • to provide and deliver our services (including maintenance plans, support, and project work)
  • to process transactions and manage subscriptions
  • to communicate with you (service messages, support, billing, and administrative notices)
  • to operate, secure, maintain, and improve our website and services
  • to prevent fraud, abuse, or security incidents
  • to comply with legal, accounting, and regulatory obligations
  • where permitted, to send marketing communications (you can opt out at any time)

Legal Bases for Processing (UK/EU GDPR)

Where UK GDPR/EU GDPR applies, we process personal data only when we have a valid legal basis, including:

  • Contract: to perform a contract with you or take steps at your request before entering a contract (e.g., providing services, billing, support).
  • Legitimate interests: to operate, secure, and improve our business and services, provided those interests are not overridden by your rights.
  • Consent: where you have given consent (e.g., certain cookies/marketing where required). You can withdraw consent at any time.
  • Legal obligation: to comply with legal requirements (e.g., tax, accounting, lawful requests).

Client Sites and Customer Data (Maintenance Services)

When we provide website maintenance or support services, we may access systems, admin panels, databases, logs, or end-user information on a customer’s website (“Client Data”). In that context:

  • the customer is typically the Data Controller for Client Data; and
  • Deutrix Ltd acts as a Data Processor to the extent we process Client Data on the customer’s instructions to deliver the services.

We process Client Data only as necessary to provide the services, secure systems, troubleshoot issues, and comply with legal obligations. If you require a Data Processing Addendum (DPA) or specific security documentation, please contact us.

Disclosure of Personal Information to Third Parties

We may disclose personal information to:

  • our employees, contractors, and related entities as required to provide services
  • service providers (sub-processors) who help us operate our business (e.g., hosting, analytics, email delivery, support tools, payment processors)
  • professional advisors (e.g., accountants, legal advisors)
  • courts, regulators, and law enforcement where required by law or to protect legal rights
  • a buyer or successor in connection with a business transfer (merger, acquisition, or asset sale)

Third-party providers we may use (depending on your interactions with us) include analytics, marketing and email tools, payment processors, hosting and storage providers, and communication/support tools. Examples may include Google Analytics, Mailchimp, PayPal, and 2Checkout (Verifone). The providers we use may change over time.

International Transfers

Some of our service providers may process data outside your country. Where UK/EU GDPR applies and personal data is transferred internationally, we use appropriate safeguards (such as Standard Contractual Clauses or other lawful mechanisms) to protect your personal data.

Security of Your Personal Information

We take reasonable administrative, technical, and organizational measures to protect personal information from loss, theft, misuse, unauthorized access, disclosure, alteration, or destruction. However, no method of electronic transmission or storage is 100% secure and we cannot guarantee absolute security.

You are responsible for maintaining the confidentiality of any credentials you control (e.g., client admin access you provide, email account access) and for choosing strong passwords and security settings.

How Long We Keep Your Personal Information

We keep personal information only for as long as necessary for the purposes described in this Privacy Policy, including providing services, maintaining records, resolving disputes, and complying with legal obligations. When personal information is no longer needed, we delete it or anonymize it where reasonably possible.

Children’s Privacy

We do not direct our website or services to children under 13 and we do not knowingly collect personal information from children under 13. If you believe a child has provided personal information to us, please contact us so we can take appropriate action.

Your Rights and Choices

Depending on your location and applicable law, you may have rights to access, correct, delete, restrict, object to processing, or request portability of your personal information. You may also withdraw consent where processing is based on consent.

Marketing: You can opt out of marketing communications at any time by using the unsubscribe link in the email or by contacting us.

Requests: To exercise your rights, contact us using the details below. We may request information to verify your identity.

Complaints: If you believe we have breached applicable data protection law, you can contact us and we will investigate. You may also have the right to lodge a complaint with your local data protection authority (for example, the UK Information Commissioner’s Office).

Changes to This Policy

We may update this Privacy Policy to reflect changes to our practices, technologies, or legal requirements. We will post the updated version on this page and update the “Last updated” date. Where required by law, we will provide additional notice or obtain consent.
